This note explains how the CARO public website and pilot request form handle information.

Information this website processes

The interactive product demonstration uses only local simulated data. It does not connect to production systems, create supplier orders or send information to an AI service.

If you choose to request pilot access, the form asks for your name, work email, business details and information about your current stock workflow. Optional context can be left blank.

How a pilot request is sent

When you submit a pilot request, the website validates the information and uses CARO's email-delivery provider to send it to CARO's designated inbox. The provider also sends a confirmation to the work email you supplied. The website does not keep a separate local database of these requests. The email provider and recipient inbox may retain message content under their settings and policies.

Booking a meeting

CARO staff cards can display a Google Calendar booking page. If you use it, the information you enter is submitted directly to Google Calendar under CARO's Google Workspace settings. Google Calendar checks the staff member's availability, creates the appointment and sends the configured invitations, confirmations and reminders. The CARO website does not receive or keep a separate copy of the booking form submission.

Tracking and cookies

This implementation includes no analytics, advertising pixels, session recording, tracking cookies or third-party chat widgets. Standard hosting logs may be created by the hosting provider for security, reliability and service operation.

Purpose and retention

CARO uses pilot-request information to assess pilot suitability, respond to the request and manage related conversations. Message retention is governed by the settings and policies of CARO's email-delivery provider and recipient inbox.

Your choices

You can choose not to use the form and may contact CARO directly. Requests to access, correct or delete information should be sent to incoming@caroaihelper.com.
